There are two, and confusing them is where most bad moving experiences start.
The motor carrier holds operating authority, owns the equipment, employs the crew, issues your bill of lading, and is legally responsible for your cargo once it is loaded. The broker arranges that relationship. Federal regulation requires brokers to identify themselves as brokers rather than let clients assume they have hired a trucking company.
Our side of it: we scope the job, build the asset inventory, price it against carrier tariffs, verify the authority and insurance of the carrier we place you with, and stay on the file until the last workstation is back together. The carrier’s side: everything involving a truck.
That is the entire model. Any company reluctant to draw that line clearly is telling you something.
Why Businesses Book Through a Broker
The objection is always the same: why pay a middleman when I could call the moving company myself.
Here is what that question misses. When you call a carrier directly, you are asking one company whether it can do your job on your dates. You get one answer, one tariff, and one schedule. Their sales rep is paid to win your business, which means the incentive is to say yes and work out the calendar later. If that calendar slips, you have no second option and no leverage, because you already signed.
When you book through us, your relocation goes in front of a network. Your Rights as a Commercial Shipper
Most commercial moving pages quietly recycle residential content. That matters, because the federal rules those pages describe do not apply to your business.
FMCSA’s household goods consumer protections cover personal effects moved from a dwelling, arranged and paid for by the individual who owns them. The familiar safeguards sit there: the limit on collecting more than 110 percent of a non-binding estimate at delivery, the mandated minimum liability of 60 cents per pound, the required arbitration program, the Rights and Responsibilities booklet.
Your business is a commercial shipper, not an individual shipper. Your relocation is governed instead by the Carmack Amendment, the carrier’s published tariff, and the terms written into your bill of lading.
Read that as leverage rather than exposure. Consumers receive fixed protections they cannot alter. You can negotiate. Liability limits, valuation, delivery commitments, remedies if a window slips, and payment terms are all contract points on a commercial shipment.
You retain the right to inspect the carrier’s tariff on reasonable request, to a written estimate before work begins, to a bill of lading stating your agreed terms, and to file a cargo claim against the carrier under Carmack within the deadlines that bill of lading sets. Three things worth settling in writing before load day: the per pound liability limit, the delivery window, and what happens if that window is missed. Agree them at contract stage while you still have leverage, not at the dock when you do not.
Reading a Commercial Moving Estimate
Bids arrive in three structures and they behave very differently once the work is finished.
Non-binding. A projection. Final charges follow actual weight or volume and services performed. On a commercial shipment no statutory ceiling caps the overage, which is exactly why the inventory underneath the number has to be complete before you accept it.
Binding. A fixed price for the listed inventory and services. It holds unless scope changes. Uncover a records room nobody surveyed and the carrier can revise before loading.
Binding not-to-exceed. A ceiling. Actual charges apply if they come in lower, and the estimate is your maximum. For a relocation running against an approved budget, this is normally the structure to insist on.
Compare structure and inventory completeness before you compare totals. A cheap non-binding figure produced from a floor plan and a fifteen minute call is not a better price, it is a less reliable one.
What moves the number: weight or cubic volume, mileage, dock and freight elevator access at both ends, stair and long carries, after-hours or weekend labor, packing materials and crating, dismantle and reassembly of systems furniture, specialty handling for servers, safes, plotters, lab and medical equipment or artwork, storage between dates, and the coverage you select.
What we typically find is that overruns are not disputes. They are the storage closet nobody opened, the mezzanine nobody mentioned, and the dock that turns out to be shared with a restaurant taking deliveries at nine.
Where the Price Comes From
Every FMCSA-authorized carrier publishes a tariff. It is the schedule of rates and rules covering linehaul charges, accessorials such as shuttles, long carries, stair carries, after-hours labor and bulky article fees, plus the valuation options available and the conditions under which each applies.
Your quote is that tariff applied to your shipment. It is not a figure someone chose. You are entitled to inspect it on reasonable request, and any quote worth trusting traces back to one. If a company cannot name the carrier whose tariff produced your number, press on it.
Cargo Liability and the Certificate Your Landlord Will Ask For
Carriers provide valuation, not insurance, and on commercial freight the defaults are thinner than most facilities managers expect.
Under Carmack the carrier is liable for loss or damage, but the tariff and bill of lading may lawfully limit that liability to a stated amount per pound. Released rates sit at the bottom of that range and will settle a damaged server at its shipping weight rather than its replacement cost. Declared or full value coverage costs more and settles on value.
Alongside that decision, handle the paperwork your building requires. Most commercial landlords demand a certificate of insurance at specified limits, frequently naming the building owner and management company as additional insured in particular wording. Send us the lease requirements at scoping. A COI that does not match gets a crew stopped at the dock, and no amount of planning recovers a weekend lost that way.
Worth checking too: many commercial property policies exclude goods in a third party’s custody, so your own coverage may not bridge the gap you assume it does. For high value equipment, standalone transit insurance is often cheaper than the carrier’s full value option.

Most single-site relocations run Friday through Sunday so staff return to a working office on Monday.
Weeks out. Site walkthrough at both addresses. Asset inventory built room by room. Building requirements confirmed: dock hours, elevator reservations, loading restrictions, COI wording, and any building or union rules that apply. You receive an order for service listing dates, inventory, estimate structure, and coverage. Floor plan numbered, workstations tagged to their destination.
Thursday. Staff pack personal desk contents into labeled crates. IT backs up, powers down, and disconnects hardware, because carriers transport equipment but do not decommission it. Anything staying behind is marked clearly, and prohibited items come out, which in an office usually means aerosols, cleaning chemicals, and bulk lithium battery stock.
Friday, pack out. Crews crate, pack, and dismantle systems furniture with hardware bagged and tagged to its workstation. The crew records condition codes against the inventory. Send someone from your team to walk it with them, because those codes become the baseline for any claim later. Someone with signing authority reviews and signs the bill of lading, which is your contract with the carrier. It should state estimate structure, coverage, delivery window, and both addresses. Do not sign an incomplete one and do not leave it to whoever happens to be nearest the door.
Saturday, transport and delivery. Items are checked against the inventory as they come off, placed to the numbered plan, and systems furniture is reassembled. Anything damaged or missing goes on the inventory sheet in writing before the crew leaves. Signing clean and calling Monday is the weakest position you can file a claim from.
Sunday. IT reconnects. You walk the floor against the plan. Keep packing materials until that walkthrough is done, then handle debris removal and decommission whatever did not make the move.
Phased and multi-site relocations stretch this deliberately so departments stay operational, but the sequence holds.
